Volunteer Coordinator

Reports to: Shelter Coordinator

 

Position Summary:

The Volunteer Coordinator’s job is to manage volunteer resources to assist in the delivery of the organization’s programs, services and welfare. This includes directly managing volunteers, providing orientation to new volunteers, guidance, support, resources and tools to volunteers.

 

Responsibilities:

  • Plan and implement goals and objectives for the volunteer program/services which reflect the mission of the organization
  • Assess the need for volunteers to enhance program/service delivery
  • Conduct ongoing evaluation of the programs and services delivered by volunteers and with the Executive Director implement improvements as necessary
  • Organize, create and implement new volunteer programs and services
  • Develop, administer, and review policies and procedures which guide the volunteer programs and services, and reflect the overall values of the organization
  • Administer forms and records to document the volunteer activities
  • Engage volunteers (new & existing) to the organization
  • Promote the volunteer program to gain community support of the volunteer program and the organization
  • Develop and implement effective strategies to recruit the right volunteers with the right skills
  • Lead the volunteer programs and services
  • Orient volunteers to increase their understanding of the organization, its clients, its services, its health and safety concerns and the role and responsibilities of volunteers
  • Ensure that volunteers are given appropriate training to be successful
  • Ensure that volunteer check-in procedures are followed and records of volunteer hours are maintained
  • Ensure that volunteers receive the appropriate level of supervision
  • Plan and implement formal and informal volunteer recognition activities
  • Evaluate the risks associated with each volunteer position and take appropriate action to control the risks associated with the program or service
  • Ensure that volunteers work in a safe, healthy, and supportive environment in accordance with all appropriate legislation and regulations
  • Recognize each volunteer for their contributions
  • Prepare an annual report on the contribution of the volunteer program to the organization
  • Administer and monitor expenditures for the volunteer program against the approved budget
  • Follows policies and procedures set out by the Society and reports all incidents to his/her immediate supervisor immediately
  • Works in compliance with the Occupational Health and Safety Act and its regulations
  • Immediately reports all incidents of injury, property damage, absence of or failure of a protective device and/or equipment to the supervisor immediately
  • In the event of injury, works cooperatively with manager to facilitate a safe return to work

 

Additional Responsibilities:

  • When required reception duties including greeting the public, answering phones, filing and general clerical duties
  • Assisting public with questions
  • Other duties as required

 

Qualifications:

  • Proficiency in the use of computers from word processing programs, data base management, internet/email usage.
  • Create and maintain positive working relationships (internally and externally) and positively influence others to achieve results/goals for the organization
  • Speak, listen and write in a clear, thorough and timely manner using appropriate and effective communication tools and techniques
  • Takes initiative and will develop new and unique ways to improve operations of the organization
  • Work cooperatively and effectively with others to set goals, resolve problem, and make decisions that enhance organizational effectiveness
  • Set priorities, develop a work schedule, monitor progress towards goals, and track details, data, information and activities

 

Education:

College certificate in Volunteer management OR post secondary education in social sciences, human resources, community development, or adult education is an asset
